- “Third-Party Suppliers” refer to hotels, airlines, tour operators, and other external service providers engaged to fulfill travel arrangements.
- Booking and Payment
- All bookings must be made through our official channels (website, email, or phone).
- A deposit or full payment is required to secure your booking. The exact amount will be specified at the time of booking.
- Payment methods include credit/debit cards, bank transfers, and mobile money services.
- Full payment must be made before the commencement of the tour, unless otherwise agreed.
- Prices are subject to change based on availability, supplier adjustments, or currency fluctuations.
- Cancellations and Refunds
- Client-Initiated Cancellations:
- More than 30 days before departure: Full refund minus administrative fees.
- 15-30 days before departure: 50% refund of the total amount.
- Less than 15 days before departure: No refund.
- Company-Initiated Cancellations:
- We reserve the right to cancel a tour due to unforeseen circumstances (e.g., natural disasters, political instability, insufficient participation). In such cases, we will offer a rescheduled trip or a full refund.
- Refund Processing:
- Refunds (if applicable) will be processed within 14 business days.
- Travel Documents and Insurance
- Clients are responsible for ensuring they have valid passports, visas, and any required health documentation.
- We strongly recommend purchasing travel insurance to cover cancellations, medical emergencies, lost baggage, and other unforeseen incidents.
- Health and Safety
- Clients must disclose any medical conditions, dietary restrictions, or special needs before booking.
- We follow safety guidelines and regulations, but clients participate in activities at their own risk.
- Clients must comply with local laws, customs, and travel advisories during their trips.
- Liability and Disclaimers
- Hangout Safaris Tours & Travel acts as an intermediary between clients and third-party suppliers. We are not responsible for issues arising from third-party service failures (e.g., airline delays, hotel conditions, or lost luggage).
- We shall not be held liable for personal injury, illness, loss, damage, delay, or expenses resulting from unforeseen circumstances beyond our control.
- Clients assume all risks associated with travel, including but not limited to accidents, theft, and changes in itinerary.
- Code of Conduct
- Clients must respect fellow travelers, guides, and local communities.
- Any illegal activities, disruptive behavior, or violations of tour rules may result in removal from the trip without a refund.
- Clients are responsible for their personal belongings at all times.
- Changes to Itinerary
- We reserve the right to modify tour itineraries due to weather conditions, safety concerns, or unforeseen circumstances.
- If significant changes occur, we will inform clients as soon as possible.
- Intellectual Property
- All content on our website, including text, images, logos, and designs, is the property of Hangout Safaris Tours & Travel.
- Clients may not reproduce, distribute, or use our content for commercial purposes without prior written permission.
- Privacy and Data Protection
- By using our services, you consent to the collection and use of your personal information as outlined in our Privacy Policy.
- We do not sell, rent, or share client data with third parties, except as required for service fulfillment.
- Force Majeure
- We are not liable for failure to perform obligations due to events beyond our control, including natural disasters, pandemics, government actions, or civil unrest.
- If a tour is disrupted due to force majeure, we will work to reschedule or provide an alternative solution.
- Governing Law and Dispute Resolution
- These Terms are governed by the laws of Kenya.
- In the event of a dispute, parties agree to attempt mediation before pursuing legal action.
- If mediation fails, disputes shall be resolved through arbitration in Kenya.
- Amendments to These Terms
- We reserve the right to update these Terms at any time. Changes will be posted on our website and will take effect upon publication.
- Your continued use of our services constitutes acceptance of the updated Terms.
